Prepare Your Report:

Gather details:  Collect as much information as possible about the incident, including dates, times, locations, individuals involved, and specific actions that constitute the breach. 

Be specific:  Avoid vague accusations. Provide clear examples of the behaviour that you believe violates the code of conduct. 

Submit the Report:

Provide all necessary information:  Include all the details you gathered in the previous step. 

Consider anonymity:  Should you wish to remain anonymous you do not have to complete the ‘Reported By’ information on the online report. Please be aware that this may hinder investigations into the matter. The Association has a Whistleblower Policy to help protect the identity of individuals reporting incidents. All notifications and subsequent internal investigations will be conducted professionally, ethically and with discretion.  The RMPA will endeavour to protect confidentiality whilst any internal investigation is being completed.

What Happens After Reporting:

Acknowledgment: The Association will acknowledge receipt of your complaint. 

Investigation: The Association will assess the complaint and may launch an investigation. 

Possible Outcomes: The severity of the violation is a primary factor in determining the appropriate outcome. Depending on the severity, the outcomes may range from the individual receiving a verbal or written warning, temporary suspension from a Branch / Association, or in cases of severe violation potential expulsion from the Association. The outcome might also include specific actions to rectify the situation. Incidents of a criminal nature may also be reported to the appropriate authorities for information / further action if warranted. 

Outcome Communication: The outcome of a breach investigation will be communicated to the involved parties, including the complainant, accused, and witnesses, in a clear and sensitive manner. 

Appeal Process: If the complainant or accused are not satisfied with the outcome, they may appeal the decision in writing to the Board of Trustees.
